Information We Collect

To fulfill your personal or business service requests, we secure and process the following categories of data variables:

• Personal Identifiers: Full name, legal aliases, physical addresses, telephone numbers, and email details.
• Government Credentials: Images or details from driver's licenses, passports, and state IDs required for authenticating signatures.
• Biometric Data Points: Digital fingerprint images captured electronically solely to process authorized state or federal background checks.
• Financial & Legal Documentation: Confidential documents submitted for notarization, apostille authentication, real estate closing support, or tax preparation filings.

How We Use Your Information

Your personal files are strictly limited to necessary business application channels, including:

• Providing, coordinating, and completing scheduled mobile services across DFW.
• Submitting fingerprint profiles and background checks safely to appropriate processing agencies.
• Managing corporate scheduling channels, invoicing data, and customer service requests.
• Ensuring absolute statutory alignment with Texas notary laws and background check compliance rules.

Data Security Measures

We employ top-tier physical safeguards, restricted internal data access privileges, and encrypted communication channels to shield your records against unauthorized leaks, data alterations, or illegal network access attempts. Biometric information is routed immediately into compliance networks and is never locally stored or harvested for external commercial use.

SMS & Mobile Messaging Consent

By providing your mobile number to Just Doing Business LLC during booking or communication, you give us explicit consent to transmit appointment alerts, verification links, and processing status updates via text. Please note: Mobile messaging details and customer phone numbers are strictly protected and will never be shared, bartered, or sold to third-party entities or affiliate markets for advertising purposes.

Your Legal Rights

You retain complete rights to audit, amend, correct, or request the erasure of your personal record archives held within our operational logs. To prompt or process an identity update request, please coordinate with our data manager at the contact options provided below.

The Just Doing Business LLC App and Connected Social Media Accounts

Our app, Just Doing Business (the name shown on Google’s sign-in screen when you connect your Google account; run by Just Doing Business LLC), lets you connect a Facebook Page, Instagram professional account, LinkedIn Page, TikTok account, Google Business Profile or YouTube channel (Google Business Profile and YouTube are not used yet for client accounts). When you do, we store the access keys that service gives us, encrypted and only for your business. We use them only to publish posts you approve and to show how those posts did (likes, comments, views) in your dashboard. We never sell this information or use it for anything else. You can disconnect any account at any time from your dashboard or from that platform’s own settings. When you disconnect, or ask us to delete your data, we delete those keys and the information we received from that platform within 30 days. Google Account Data (Clients Who Connect Google)

Our app, Just Doing Business, uses one Google sign-in for two kinds of accounts. Here is every Google permission it can ask for, what it does with each, and how long anything is kept.

A business that connects its own Google account to its dashboard

Businesses that use our app can connect their own Google account on the Connections page of their dashboard. You choose which Google services to connect, and we ask Google only for those. Nothing is connected unless you choose it.

• Read your Gmail (gmail.readonly): when you ask Gracie, our assistant, about your email in your dashboard chat, she reads the sender, subject, date and Gmail’s short preview of your newest inbox emails from the last 7 days (up to 12, from people outside Just Doing Business) to answer you. She does not read full message bodies or attachments, and nothing else in your mailbox is read. Kept: the answer stays in your chat history until you delete it. It is never used to train or improve our assistants, and people at Just Doing Business never see it unless you share that conversation with us.
• Write Gmail drafts (gmail.compose): only if you use our booking-confirmation feature. When one of your customers books with you, a confirmation email is written as a draft in your Gmail and sent from your account to that customer. Gracie’s dashboard chat cannot send email or save drafts. Kept: the email stays in your Gmail like any email you send.
• Your Google Calendar (calendar): when you ask Gracie about your schedule, she reads the title, time and location of events on your main calendar for the next 7 days to answer you. With our booking-confirmation feature, we add, update or remove the calendar events for the bookings your customers make. Kept: events live in your calendar. A booking record (dates and status, no email text) is kept with your account until you close it.
• Google Business Profile and YouTube (upload only): you can choose to connect them, but our app does not use them for your account today. If that changes, we will use them only to publish posts and videos you approve, and we will update this policy first.

Just Doing Business’s own Google accounts (our business, not yours)

We also connect our own company accounts, to run our own business: sending and organizing our own business email (gmail.send, gmail.modify), our own booking calendar (calendar), our own Google Business Profile reviews, replies and service list (business.manage), uploading videos to our own YouTube channel (youtube.upload), our own website’s search statistics (Search Console, read-only), and exporting our own customer list to our own spreadsheet (spreadsheets). None of these permissions are used on a connected business’s account.

Where it is kept

The access keys Google gives us are stored encrypted (AES-256), only for your business, on our own storage. The key that unlocks them is kept on a separate computer. The emails and events Gracie reads are not saved as a copy. Your chat with Gracie is saved in your business’s own chat history, so a sender, subject or short preview she mentioned in a reply is kept there. It is kept until you ask us to delete it; it does not expire on its own.

How it is processed

Gracie runs on AI models on our own computers. Your Google data goes only between Google and our computers. It is not sent to any outside AI service.

What we never do

• We never sell your Google data.
• We never use it for advertising.
• We never share it with other businesses that use our app. Conversations that used your Google data are left out of anything shared across businesses, including what our assistants learn from.
• We do not use it to train AI models.
• People at Just Doing Business LLC do not read your Google data, except when you ask us to help with something, when it is needed for security, or when the law requires it.

Who sees your Google data

No one outside Just Doing Business. We don’t sell it, rent it, or share it with advertisers or data brokers. Our assistants run on our own computers; your Google data is never sent to an outside AI company. The only time it leaves our system is when you use our booking-confirmation feature: the confirmation email goes from your own Gmail to your own customer. We’d only disclose it if the law requires it.

Disconnecting and deleting

You can disconnect Google at any time on the Connections page of your dashboard. That deletes the access keys we stored. You can also remove our access in your Google account at myaccount.google.com/permissions. To have us delete your saved chat history as well, use the contact details below or call (972) 850-6982, and we will delete it within 30 days. Anonymized copies used to improve our assistants, without your name or contact details and never including your Google data, may be kept.

Just Doing Business LLC’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

How We Use Conversations to Improve Our Service

We may use your conversations with Gracie to improve our assistants. Before a conversation is used this way, we remove your business name, the names on your account, email addresses, phone numbers, web links and street addresses, and we do not keep which business it came from. Other names or details you type into a chat are not removed automatically, so please do not share sensitive personal information in a chat. These copies are never shown to other businesses. Conversations that use your Google email or calendar are never used for this.

When you delete your saved chat history (in your business portal, “Delete my saved chat history”), it is removed from your account along with any notes tied to your business; anonymized copies that do not say which business they came from may be kept.

Access to Your Portal

To support your account and keep your service running, the owner of Just Doing Business LLC may access your business’s portal. People at Just Doing Business never see answers that used your Google email or calendar unless you share that conversation with us.
